Interim notice. This is the working privacy policy for the Seen. Strong. soft-launch. A healthcare-attorney-reviewed version is in preparation and will be published before broad public outreach. The principles below reflect our current data practices and will not change in substance during that review.
1. Who we are
Seen. Strong. is the 100,000 Girls campaign operated by Better Athlete, an athlete-screening and training-intelligence platform. References to "we," "us," and "our" mean Better Athlete operating the Seen. Strong. campaign. Our primary contact for privacy questions is privacy@seenstrong.com.
2. Who this policy is for
This policy covers three groups of people who interact with the campaign:
- Athletes — youth female athletes who take the screening.
- Parents and guardians — who consent on behalf of their minor athlete and receive their athlete's report.
- Organizations, sponsors, and partners — schools, clubs, philanthropic sponsors, clinical providers, and technology partners.
3. What we collect from athletes and parents
Only what is needed to deliver the screening and the report. Specifically:
- Identity and contact: athlete's first name, parent's name + email, athlete's age, primary sport, state of residence.
- Consent record: a record that a parent or legal guardian gave consent, including timestamp.
- Screening responses: answers to validated questionnaire instruments (mental health, knee function, energy availability, female athlete panel, and similar) and, where the movement-capture protocol applies, video data captured during the guided movements.
- Derived data: risk tier, plain-language report, prevention program assignment, and (where applicable) a referral to a partner clinical provider.
- Operational metadata: timestamps, device type, IP address (used for security and aggregate analytics), and the campaign cohort the athlete is part of.
We do not collect Social Security numbers, government IDs, financial account information, or precise geolocation. We do not collect athlete data for advertising purposes.
4. What we collect from organizations, sponsors, and partners
For schools, clubs, sponsors, providers, and tech partners who fill out a form on this site, we collect what is on the form (your name, organization, role, email, phone if you give it, and your notes). For partners who join our network, we additionally maintain agreement-related records.
5. How we use what we collect
- To deliver the screening, the report, and the prevention program to the athlete and parent.
- To route a referral to a vetted partner clinical provider when the screen indicates clinical evaluation is appropriate, and only with the specific consent of the parent.
- To improve the screening protocol's calibration — using de-identified, aggregate outcome data only.
- To communicate with parents, partners, sponsors, and ambassadors about the campaign, including outcome reports and operational notices.
- To meet our legal, audit, and regulatory obligations.
6. Who else sees the data
The data flow is intentionally narrow:
- Athlete and parent see the full plain-language report.
- Partner clinical providers see only what the parent explicitly consents to share when a referral is made — typically the athlete's first name, contact email, risk tier, and a one-sentence reason for referral. Providers do not receive raw questionnaire answers or video data unless a separate consent is given.
- Schools, clubs, coaches, athletic trainers, and school nurses who register an organization receive only de-identified aggregate data for their roster, unless an athlete or parent specifically grants individual-level visibility.
- Sponsors and funders receive only de-identified aggregate impact data — never individual athlete information.
- Our processors (Supabase for database, Cloudflare for network and storage, SendGrid for email, and similar infrastructure providers) process data on our instruction to deliver the service. They do not own the data and may not use it for their own purposes.
- We do not sell or rent athlete or parent data to third parties. We do not share it with advertising networks.
7. How long we keep it
Screening data is retained for as long as the athlete may benefit from longitudinal comparison — typically through her athletic career — and may be retained in de-identified form for research and outcome calibration after that. Parents and athletes may request deletion of their data at any time. Aggregated, de-identified data may be retained indefinitely for research.
8. Minors and parental consent
The screening is designed for youth athletes, including those under 13. We require verifiable parent or legal-guardian consent before any data is collected from an athlete under 13. For athletes 13 to 17, we collect parent consent and, separately, the athlete's affirmation. For athletes 18 and over, the athlete consents directly. We follow the U.S. Children's Online Privacy Protection Act (COPPA) for under-13 athletes and apply state-level minor data protections where they go further.
9. Security
Data is encrypted in transit (TLS) and at rest. Access to athlete-level data is limited to the campaign's clinical and operations staff who need it to do their job. Authentication and audit logs are in place for every internal access action. We follow established practices for vulnerability management and incident response.
10. Your rights
You can:
- See what we have on the athlete you parent (or yourself, if you are 18+).
- Correct anything that is wrong.
- Delete the athlete's records, subject to limited retention for compliance or de-identified research.
- Withdraw consent at any time for future use of the data.
- Export a copy of the report.
To exercise any of these rights, email privacy@seenstrong.com. We respond within 30 days.
11. Where data is processed
Data is processed in the United States on infrastructure operated by U.S.-based providers. We do not transfer athlete data outside the U.S. for processing.
12. Changes
We may update this policy as the campaign matures and as the attorney review is completed. Material changes will be communicated by email to parents on record and posted here. Minor edits will be reflected in the "Last updated" date at the top of this page.
